1. Who we are
SOLASTIA SYSTEMS (PRIVATE) LIMITED (trading as Solastia Systems) is a Pakistan-registered private limited company. We provide software development, IT consultancy, artificial intelligence solutions, cloud systems, and business software including inventory management, point-of-sale, finance, operations, and optional social media marketing tools.
Registered office: Basement No 03 Al Malik Complex Blue Area G-7/3, Islamabad, Islamabad Capital Territory, 44000, Pakistan.
We act as the data controller for information processed through our own websites, cloud platforms, licensing systems, and administration services. When you use locally installed software that stores data primarily on your own devices or servers, you may remain the controller of much of that business data, while we process limited information needed for licensing, updates, and optional cloud features you enable.
2. Scope
This Policy applies to:
- Our websites and web applications;
- Desktop and locally deployed software products;
- Cloud-hosted services used for synchronization, licensing, administration, and social marketing features;
- Customer support, sales, and billing interactions;
- Integrations you authorize with third-party platforms, including social networks.
Third-party websites and platforms have their own privacy policies. This Policy does not govern their practices.
3. Information we collect
3.1 Account and identity information
When you register or are provisioned an account, we may collect your name, business name, email address, phone number, username, role, and authentication credentials. Passwords are stored using industry-standard hashing; we do not store plain-text passwords.
3.2 Business and operational data
When you use our software, you and your users may enter or generate business records, including product catalogs, inventory levels, pricing, customer and supplier records, invoices, payments, expenses, employee or user activity within the application, and files such as product images. This data is processed to provide the functionality you request.
3.3 Licensing and device information
For licensed desktop or device-based products, we may collect license keys, activation status, machine identifiers derived from hardware characteristics, device or host names, last check-in timestamps, and subscription or expiry information necessary to enforce license terms and provide support.
3.4 Cloud synchronization and API usage
If you enable cloud-connected features, we process client identifiers, API keys, sync logs, product mirror data selected for social or cloud features, campaign definitions, scheduled post metadata, and error logs needed to operate synchronization and publishing workflows.
3.5 Social media integration data
When you connect a social media or advertising platform, we receive and store information authorized through that platform’s consent process. This may include access tokens stored in encrypted form, connected page or account identifiers, page names, publishing permissions, and content you schedule or publish through our services. We access third-party platform data only to deliver the features you enable.
Supported or planned integrations may include Meta services (Facebook and Instagram), TikTok, and other platforms we add over time. The exact data received depends on the permissions you grant on each platform.
3.6 Payment and billing information
If you purchase paid services, we or our payment processors may collect billing contact details, transaction records, invoice history, and payment confirmation data. Payment card details are handled by payment processors where applicable and are not stored by us in full card form unless explicitly required and disclosed at checkout.
3.7 Technical and usage information
We automatically collect certain technical data, including IP address, browser type, operating system, application version, device type, log files, error reports, performance metrics, and actions taken within our services such as login times and feature usage, to secure, maintain, and improve our products.
